As part of our ongoing email security improvements, Egress Defend has created a new Graymail folder in your Outlook inbox.
What Goes Into Graymail
The Graymail folder collects legitimate but low-priority messages such as newsletters, event announcements, and marketing-style emails. While these aren’t spam or phishing, separating them helps keep your inbox focused and secure. By moving nonessential, third-party messages out of your main inbox, Egress Defend reduces clutter, limits exposure to potential spoofing or social engineering attempts, and makes it easier to spot truly suspicious messages.
How to Favorite the Graymail Folder (How To Guide)
To make the Graymail folder easier to find:
- In Outlook, right-click the “Graymail” folder.
- Select “Add to Favorites.”
This pins it to the top of your folder list for quick access.
How to Mark a Message as “Not Graymail”
If you see a message in Graymail that belongs in your main inbox:
- Click on the Graymail label and then select, not graymail on the screen that opens.
- Egress will learn from your action and improve future message sorting.
If You Deleted Your Graymail Folder
Don’t worry — the folder and its messages aren’t permanently gone.
1.) Check Deleted Items:
- Go to your Deleted Items folder.
- Look for a folder named Graymail.
- Right-click it and select Move > Inbox (or drag it back into your main folder list).
- Not in the Deleted Items folder, Outlook will automatically recreate the Graymail folder the next time Egress Defend routes a message there.

Simplify Your Inbox View (How To Guide)
You can make your inbox easier to manage by turning off Outlook’s Focused and Other email tabs:
- Go to View > Focused Inbox > Don’t sort my message and toggle it on.
- Now, you’ll only need to check three places for mail:
- Inbox – primary messages
- Graymail – low-priority or bulk messages
- Junk Email – potentially harmful or suspicious messages
⚠️ Important: Only open or reply to emails in the Junk folder if you are 100% certain they are valid. If in doubt, delete or report them to the IT Support Services at 412-365-1112
