Enter Time (Student Workers)

This job aid will assist in entering your time daily into Workday daily task using the check in/check out feature in your Time application for all arrivals and departures from work (i.e., morning clock-ins, lunch/appointment clock-outs, return from lunch/appointments clock-ins).

From your Workday homepage, click the  Time application. In this application, you can use your Time Clock to Check In and Check Out, view your time entered and time off, time off balance, time clock history, and more.

If you missed a check-in or check-out, or need corrections made to your timesheet, you need to notify your manager via email, indicating the date and the check-in or check-out time that you missed and/or corrections, so they can manually enter your time in Workday on your behalf.

Enter Time Using Time Clock (Check In/Check Out)

Check-In (arriving at work initially and returning from appointments/lunch)

  1. From the Workday homepage, click the  Time application.   
  2. Under the Time Clock section, click Check In.
  3. Select your Time Type from the list.  
  4. Add a comment in the details section if applicable.
  5. Click OK to submit; or Cancel to end task.
  6. You will receive a confirmation message. Click Done.
  7. The Check In time now appears in the Time Clock section.

Check-Out (leaving for appointments, lunch or for the day)

  1. From the Workday homepage, click the Time application.   
  2. Under the Time Clock section, click Check Out.
  3. Select Reason, either Meal or Out.
    • Note: You will be checked out once you click OK.
  4. Add a comment in the details section.
  5. Click OK to submit; or Cancel to end task.
  6. You will receive a confirmation message. Click Done.
  7. The Check Out time now appears in the Time Clock section.

Submitting Time Bi-Weekly

All employees are required to submit no less than their regularly scheduled work hours each week (i.e., 29, 32, 40 hours). If you do not have enough time entered, you must supplement with time off entered through absence (see Enter Absence Job Aid). The review and submit button will not appear until you have entered your regularly scheduled work hours (for that two-week period) and have no errors present on your timesheet.

  1. From the Workday homepage, click the  Time application.   
  2. Under the Enter Time tab, click This Week.
  3. Click Review.
  4. Review your time off and click Submit.

If you need assistance correcting your time or missed a check-in/check-out, contact your manager using the instructions below.

  1. Time entry routes to your manager for approval.

Missed Check-Ins or Check-Outs or Timesheet Corrections

If you missed a check-in or check-out, or need corrections made to your timesheet, you need to notify your manager via email, indicating the date and the check-in or check-out time that you missed and/or corrections, so they can manually enter your time in Workday on your behalf.

In the subject line of the email insert Missed Check-In, Missed Check-Out or Timesheet Correction whichever is applicable.
