This user guide provides non-exempt employees with detailed instructions for entering and managing their worked time in Workday, including using calendar and quick add features, modifying submitted time, requesting and tracking overtime, and performing high-volume time entry.

Enter Your Time Worked in Time Tracking

The Time application allows you to easily enter your worked time. Entering worked time will be primarily used by non-exempt employees.

Important Information

  • Non-Exempt full-time employees have a 35-hour work week.
  • All overtime (any hours worked over 35 per week) for non-exempt employees requires prior approval.

Enter Time Using Calendar-Based Interface

Enter Time by Week (Non-Exempt EMPLOYEES)

1. Click the Time application from the Workday Dashboard

2.  Click Select Week.

    

3.  Select a date corresponding with the week.

   

4.  Click OK.

5.  Click the day for which you want to enter time on the time entry calendar.

6.  Complete all required fields.

7.  Click OK.

8.  Complete all calendar entries according to the time worked. Total Hours update and display above the calendar.

9.  Select any time block to make necessary corrections.

10.  In the time block window, click OK to save corrections or Delete to remove a time block.

NOTE:  ONLY ENTER WORK HOURS

11.  Click Ok, Review, Submit.

 

 

Quick add your time

If you work multiple shifts that are identical you can use the Quick Add option to enter your time.

1.  Click Actions at the top of the time entry Calendar.

2.  Click Quick Add.

 

3.  Enter the Time Type.

4.  Click Next.

 

5.  Enter number of hours worked for the appropriate days. Click OK

6.  Click the Blue Review button.

7.  Click Submit.

 

View Details of Submitted Time

1.  Click the Time application from the Workday Dashboard

2.  Click Select Week.

    

3.  Click on Action and then Review Time by Week. Look at status column. If it says Submitted, it is NOT yet approved.

                                         

Modify Previously Reported Time

1.  From the Workday Dashboard, click the Time application.

                                         

 

2.  Under Enter Time, click Select Week.

 

3.  Select a date corresponding with the week and click OK.

 

4.  Click OK.

NOTE: Your reported time displays on the calendar. Approved items display with a green bar on the left side of the time block and an Approved status.

                               

5.  Click the time block. A window displays to edit details.

6.  Edit the details of the time block and click OK or Delete.

 

SUBMIT OVERTIME REQUEST

Request Overtime

All overtime (hours which exceed 40 hours worked) for non-exempt employees requires prior authorization.


1.  Click the Time application from the Workday Dashboard.

2.  Click Overtime Requests under the Enter Time section.

                                                         

3.  Click on New Request.

4.  Enter the Start Date overtime request.

5.  Enter the End Date for the overtime request. The total hours of overtime display in the Total Hours field.

6.  Enter a comment in the Comment section describing the overtime request, if applicable.

7.  Upload an attachment to the request, if applicable.

8.  Click Submit.

 

View status of overtime request

1.  Click the Inbox icon at the top of the page.

2.  Click the Archive tab to view the approval status of the request.

 

High Volume Time Entry (HVTE)

High Volume Time Entries (HVTE) allow you to quickly enter a higher volume of worked time for a week.

1.  Click Select Week in the Time application

 

2.  Click a date corresponding with the week and click OK.

 

3.  Click Actions on the top right. Click Enter Time by Week.

 

4.  Click the + icon on the top left to add a row for each time block on the days you need to enter time.

5.  Enter time block details.

6.  Click Next.

7.  Review your daily and weekly totals and click Save.
